About these terms

These terms apply to every booking made with SapaTreks (“we”, “us”, “our”), operated by Hanoi Travel Mate Co., Ltd., through our website, WhatsApp, email, or partner booking platforms. By booking a tour you confirm you have read and accept them.

Bookings & confirmation

A booking is confirmed once you receive a written confirmation from us or from the booking platform you used. After confirmation, your guide will reach out by WhatsApp with the exact meeting point and any final details.

Payment

There is no card checkout on this website. After you email us, Hanoi Travel Mate Co., Ltd. confirms final price, meeting or pick-up time, and payment method in writing. Tours booked through partner platforms are paid through that platform under their terms. Tips for your guide on paid SapaTreks products are optional thanks, not a second invoice.

Cancellations & changes

• Standard day walks and treks: with at least 48 hours' notice we reschedule or cancel without charge when possible. Inside 48 hours, guide or vehicle costs already committed may be charged — any fee is stated in your confirmation email before you pay.
• Homestay overnight treks: with at least 7 days' notice we reschedule without charge when possible. Inside 7 days, homestay deposits may be non-refundable — stated clearly in your confirmation email before you pay.
• If we have to cancel for safety, weather, or operational reasons we will offer a full reschedule or refund.
• Bookings made through a third-party platform follow that platform’s cancellation policy.

Punctuality

Please arrive at the meeting point on time. We will wait up to 15 minutes; after that the tour may start without late guests and no refund will be issued.

Health, safety & conduct

You are responsible for ensuring you are fit to take part in the walking, cycling, or trekking activity you book. Please tell us in advance about any medical condition, allergy, or mobility need. We reserve the right to end the tour for any guest behaving in a way that endangers themselves, other guests, our guide, or the public.

Travel insurance

We strongly recommend that every guest holds valid travel insurance covering medical care, personal accident, and trip disruption while in Vietnam.

Liability

SapaTreks and Hanoi Travel Mate Co., Ltd. are not liable for loss, damage, injury, or additional expense arising from circumstances outside our reasonable control, including weather, traffic, transport disruption, illness, or acts of any third party. Nothing in these terms limits any liability that cannot be limited under applicable law.

Photos & content

Guides occasionally take photos during tours and may share them on our website or social media. If you would prefer not to appear, please tell your guide at the start of the tour.
