Overview
How private trek planning works
Custom Private is for families, photographers, hikers, repeat visitors, and mixed-ability groups who should not be forced into a fixed route. We start with your dates, hotel plan, group size, walking experience, health limits, and interests, then return a written itinerary before you pay. That itinerary states the route, distance or driving kilometres, elevation pattern where relevant, difficulty, meals, transport, guide plan, safety notes, exclusions, and quote by email.
Routes can be simple, such as a slower Lao Chai and Ta Van day with more photo time, or more complex, such as a Muong Hoa homestay plus Bac Ha Sunday Market, a pass-and-valley motorbike day, or a Fansipan plan for fit hikers. We plan around real conditions: muddy trails, shared homestay bathrooms, long Bac Ha road time, Fansipan weather, children's stamina, dietary needs, and guests who prefer not to cross exposed paths or suspension bridges.
The best season depends on the chosen route. Valley walking is usually easiest September to April; rice colour peaks around harvest; May to August is greener but wetter; Fansipan needs stronger fitness and weather flexibility year-round. The main advantage of custom planning is honest fit. If a requested route is too long, unsafe for the season, or poor value for your group, we say so and propose a clearer option.

What you'll discover
What we plan around
A custom tour is only useful if the difficult parts are named early. These are the points we clarify before quoting.
Who this service fits
Use it if fixed departures are too fast, too short, too public, or do not combine the places you need. It is also useful when travelling with children or older relatives.
Why a written itinerary first
Sapa routes can sound similar online but differ in distance, mud, elevation, transfer time, and facilities. Written details let you compare before paying.
Packing
We send a route-specific list. Valley walks need grip and rain gear; homestays need overnight basics; Fansipan needs warm layers, headlamp, and stronger footwear.
Weather and season
We design around the month you travel, not a generic brochure. Wet-season paths, foggy passes, and Sunday-only market timing all affect the plan.
Safety
Tell us about injuries, medication, fear of heights, riding confidence, and food allergies before we quote. We plan safer routes when we know the constraints.
First-timer surprises
Private does not mean every place is empty or every facility is private. Some villages, markets, and homestays remain shared local spaces.
Guide value
Your guide is not only there for directions. They manage pace, etiquette, route changes, translation, and practical decisions when the mountain weather changes.
Honest limitations
We do not promise unsafe shortcuts, guaranteed clear views, private homestay bathrooms unless arranged, or fixed prices before the route is defined.
The experience
How a custom booking works
Step 1 · Send your brief
Email your dates, group size, ages if relevant, hotel plan, fitness level, preferred villages or activities, and anything you want to avoid. A short honest brief is better than a long wish list.
Step 2 · We check route fit
Hanoi Travel Mate reviews season, distance, elevation, road time, guide availability, homestay or vehicle needs, and safety concerns before proposing the route.
Step 3 · Written itinerary first
You receive a day-by-day plan with timing, walking distance or driving kilometres, elevation notes where relevant, difficulty, inclusions, exclusions, and booking expectations.
Step 4 · Quote by email
Once the itinerary is clear, we send the fixed quote and payment method. We do not ask you to confirm a custom tour before the written plan makes sense.
Step 5 · Final confirmation
After agreement, we confirm guide, meeting point, pick-up time, meal notes, weather preparation, and any documents needed for motorbike or Fansipan routes.
Step 6 · Tour day
Your guide runs the agreed plan and discusses any weather or safety adjustments with you before changing the route. Major changes are not made without explanation.

Book this tourFrequently asked
Before you book.
- Is private really more expensive?
- Per person, private often costs more for couples — but groups of three or more frequently match scheduled-tour pricing. Hanoi Travel Mate quotes both options in one email so you can compare before confirming.
- How far in advance should I book?
- One week to several months is fine. Longer notice helps us secure homestay families, Sunday Bac Ha vehicles, and your preferred guide — we confirm availability in writing within a few hours of your email.
- Can you book my hotel in Sapa too?
- Yes, on request. We recommend hotels we know at different price points and do not take commission — hotel choice stays independent of your trek quote.
- Can you do this for solo travellers?
- Yes — solo private days are common, especially for photography and slow-travel itineraries. We quote a single rate in your written plan with guide name and pick-up confirmed before you pay.
- What if I want to change the plan on the road?
- Your private guide can adjust pacing and stops within reason. For transport, meals, or homestay changes, they contact Hanoi Travel Mate on your behalf — we confirm any price impact before proceeding.
- Do you work with travel agents?
- Yes. Identify yourself as an agent in your first email — we provide net rates, written itineraries, and licensed operator details suitable for client confirmations.
- What's the cancellation policy?
- Free changes up to 7 days out. Inside 7 days we may need to charge for non-refundable bookings (e.g. homestay deposits) — we always tell you up front.
- How difficult is this tour?
- Tailored to your group — we grade each day easy, moderate, or strenuous in your written itinerary before you confirm. No generic template; routes come from guides who walk these valleys weekly.
- What fitness level do I need?
- Set during planning — from flat town walks to multi-day moderate treks. We flag bridges, homestay sharing, elevation, and daily distance honestly in the email quote.
- Can children join?
- Families welcome — include ages and stamina in your first email. We recommend graded routes and homestay families suited to children, confirmed in your written plan.
- What about weather in Sapa?
- Include your travel month in the first email. We adjust routes for rain, harvest mud, fog, and Sunday Bac Ha timing — seasonal notes appear in your draft itinerary.
- What is the cancellation policy?
- Free changes up to 7 days before departure when possible. Inside 7 days we may need to charge for non-refundable homestay or vehicle bookings — we always disclose this in writing before you pay.
- How do I pay?
- Quoted by email once your itinerary is agreed — one fixed price covering guide, transport, and meals as listed. Solo private days are common; payment method confirmed in that email. No card payment on this website.
- What should I wear and bring?
- Your assigned guide sends a packing list matched to your itinerary — trekking shoes, rain layer, and homestay warmth as needed.
- Where is the meeting point?
- Agreed in your written itinerary — usually your hotel in Sapa on Day 1. Every confirmation includes guide name, pick-up time, and day-by-day meeting points.
- How long does the tour take?
- Flexible — you choose length and start time. We return a draft itinerary with daily hours, distances, and difficulty within a few hours of your first email.
- Are meals included?
- Meals included exactly as listed in your written itinerary — picnic lunches, homestay dinners, or town meals. Vegetarian and dietary requests noted at quote stage.
- Is transport included?
- All transport described in your itinerary is included in the quoted price — private car, motorbike days, or Bac Ha Sunday runs. Nothing added on the road without your approval.
- Can I book a private version of this tour?
- Every Custom Private booking is private by definition — one group, one guide, one written price. Email sapatreksteam@gmail.com with dates, group size, and interests to start.
